Booking Terms

The terms on which we make videos for a practice. They form part of every signed order form, and they take about ten minutes to read.

These booking terms apply to every order placed with Seen Group L.L.C-FZ, trading as Medical AI Videos, by a medical practice, group, hospital or device company in the United States. They form part of every signed order form, and the order form and these terms together are the whole agreement for the videos ordered. Where an organization rollout is ordered, a separate organization agreement applies as well, and these terms apply to the rollout only where that agreement does not say otherwise.

In these terms, the practice means the practice, group, hospital or company named on the order form, and we means Seen Group L.L.C-FZ trading as Medical AI Videos.

The order form says which package is being ordered.

An order covers one of five packages, and the signed order form says which one, for which procedure or procedures, and where the videos will run.

An awareness pack supplies four or eight short social videos each month. They are made from base scripts we have already written and reviewed, they are branded for the practice, and the practice's clinician approves them each month before they are produced. The pack has a three month minimum term and then runs month to month.

A specialty starter set supplies ten core videos for one specialty, branded for the practice. The first specialty offered is vascular and interventional radiology.

A custom video is written from the practice's own material. Custom videos include condition explainers, procedure walkthroughs, pre-op and post-op instructions, clinician introductions, and referral and service line films. A set of five custom videos is priced lower per video than a single video.

A case study video tells the story of a kind of case the practice treats. It is quoted after the brief, because the price depends on what the case needs.

An organization rollout for a group, hospital or device company is quoted after a rollout planning session and is invoiced by milestone under a separate organization agreement.

Prices are set out on the order form.

The free script costs nothing and is the practice's to keep.

Each practice, group, hospital or company can ask for one free script for one procedure. We write it at no cost after a brief call, the practice's named clinician reviews it, and the practice keeps it whether or not it commissions the video.

Nothing is signed for the free script, and asking for it creates no obligation to order anything.

Every video starts with a brief call and a written script.

Every video starts with a brief call of about twenty minutes. On the call we agree the procedure, the clinician who will review the script, where the video will run, what patients receive today, and the date the script will arrive.

We then write the script and deliver it as a document. The script is written from the material the practice supplies and from what its clinician tells us, and we do not add clinical claims of our own. If something in the practice's material looks unsupported, we say so in the draft.

Awareness pack videos and starter set videos start from base scripts we have already written and reviewed. The practice's version of each script still goes to the practice's clinician for approval before anything is produced.

The practice's clinician reviews and approves every script before anything is produced.

The practice names one clinician on the order form who reviews each script. That clinician may change or cut anything in the script, and we make the changes before production.

Nothing is produced until the named clinician has approved the script. Approval in writing is enough, including an email from the clinician or from the practice on the clinician's behalf. For an awareness pack, the clinician approves the month's scripts before that month's videos are produced.

If the clinician cuts a claim, it stays cut. If the clinician will not approve a script, we do not make the video.

We produce and deliver the video within days of approval.

After approval we produce the video and deliver it within days. Delivery is to the practice's own storage, at the email address or shared folder given on the order form.

Each video is delivered as a master file, a caption file, a vertical cut, a thumbnail, and the AI label that each platform the video will run on requires. A video counts as delivered when these files have been sent to the delivery address on the order form.

One round of corrections is included after delivery.

After delivery, one round of corrections is included for anything in the video that differs from the approved script. We correct it at no charge.

Changes to the approved script after production, including changes of wording, order or claims, are a new video and are quoted as one.

Ownership and license differ by package.

A custom video or case study video is owned outright by the practice once it has been paid for, including the finished video, its script and the master files. The practice can use it anywhere, for as long as it likes, without asking us.

A specialty starter set is licensed to the practice forever and non-exclusively for use on its website, its waiting room screens and its social accounts. The base scripts are reused across practices, so the license is non-exclusive, and other practices may receive videos made from the same base scripts with their own branding and their own clinician's approval.

An awareness pack video is licensed to the practice in the same way as a starter set video. The practice keeps every video it has received, and its license to use those videos continues after the pack is cancelled.

Under every package, the practice's own brand material stays the practice's property, and we use it only to make the practice's videos.

The practice is responsible for the clinical accuracy of its videos and for the claims they make.

We are not a source of medical information. We write from the material the practice supplies, we flag anything that looks unsupported, and we never add clinical claims of our own.

The commissioning practice is responsible for the clinical accuracy of its videos and for every claim they make, and its clinician's approval of the script confirms that responsibility. The practice is also responsible for complying with the advertising and professional rules that apply to it.

Nothing in a video is medical advice. The practice should present its videos as patient education material that does not replace a consultation.

The practice obtains patient permission, and we never receive patient information.

Where a video uses any detail of a real patient, the practice obtains that patient's written authorization before we start and keeps it on file. Where no authorization exists, the case must be fully fictionalized.

We never need identifiable patient information to make a video, and the practice must never send it to us. If patient information reaches us by mistake, we delete it and tell the practice.

No synthetic person is ever presented as the practice's patient or staff, and no presenter is styled as a doctor.

Every video is labeled as AI-generated where a platform requires it.

Every video is delivered with the AI label that each platform named on the order form requires, and the practice applies that label when it publishes the video.

We tell the practice which parts of each video were generated and which came from material the practice supplied, so the practice can answer that question if a patient asks it. Case study videos also state that illustrated people are not actual patients.

Payment terms depend on the package.

Awareness packs are billed monthly in advance. A starter set is paid in full before delivery. A custom video or case study video is paid on delivery of the approved video. Organization rollouts are invoiced by milestone under the organization agreement.

Every invoice is due on receipt and can be paid by card or bank transfer through the invoice. Prices are set out on the order form, and the order form shows the total for the first payment.

Cancellation and non-delivery are handled as follows.

An awareness pack can be cancelled after the three month minimum by giving notice before the next billing date. Videos already delivered are kept.

A starter set, custom video or case study video cancelled after the brief call but before script approval owes nothing. One cancelled after script approval but before delivery owes half the price. Delivered work is not refundable.

If we do not deliver an approved video within ten business days of approval, the practice can cancel that video and any payment made for it is refunded in full.

We keep the practice's material confidential.

Everything the practice sends us, including briefs, draft scripts, brand files and consent material, is used only to make the practice's videos. It is not shared with anyone outside the work, and suppliers engaged for a project receive only what they need.

We do not show the practice's videos or name the practice in our own marketing without the practice's written agreement.

This section does not apply to our base scripts, which are ours and are reused across practices, or to information that is already public.

Our liability is limited to the amount paid for the video in question.

Our total liability to the practice in connection with any video, whatever the basis of the claim, is limited to the amount the practice paid for that video. We are not liable for loss of profit, loss of business or any indirect loss.

Nothing in these terms limits any liability that cannot be limited by law.

These terms are governed by the laws of the United Arab Emirates as applied in Dubai.

These terms, the order form, and any dispute arising out of or in connection with them are governed by the federal laws of the United Arab Emirates as applied in the Emirate of Dubai. The courts of Dubai have exclusive jurisdiction, save that we reserve the right to bring proceedings in any other competent jurisdiction.
